Snow Day Event Prep Tips

With winter weather in full swing, we can anticipate unexpected winter conditions leading up to your event and even on the day of your event or party.

Here are some tips on how to prepare for snow on the day of your event or party:

Before the Event:

  • Monitor the Weather: Keep a close eye on the weather forecast and be prepared to adjust your plans accordingly. You can check the weather at: AccuWeather. We recommend checking daily at minimum one week in advance leading up to the event. At Record-A-Hit, changes can be made within 24 hours of the event date. Your Sales/Event Rep will be in communication with you 48 hours prior to your event if any immediate changes do need to happen.
    Communicate with Attendees: Send out a notification to your attendees about the potential for snow and any changes to the event plan.
  • Have a Backup Plan: If possible, have a backup plan in case the event needs to be postponed or canceled. We strongly encourage having an indoor location as a backup!
  • Prepare Your Venue: Ensure your venue is prepared for snow, including snow removal equipment and de-icing agents.
  • Prepare for Indoor Events: If your event is indoors, ensure that your venue has adequate heating and that the walkways are clear of snow and ice.

On the Day of the Event:

  • Dress for the Weather: Wear warm, waterproof clothing and footwear.

Communicate with Attendees: Keep your attendees informed about any changes to the event schedule or location.

  • Be Flexible: Be prepared to adapt to changing conditions.
  • Prioritize Safety: The safety of your attendees and staff should be your top priority.

Even the most meticulously planned event or party can be derailed by unexpected snowy weather. That’s why flexibility is key. By anticipating potential challenges and having a contingency plan in place, you can ensure a smooth event, even when the snow starts to fall.
