Tips if High Winds Are Expected During Your Event

Unexpected high winds can put a damper on even the most meticulously planned event or party. But, with a little preparation, you can minimize the impact of windy conditions and ensure your event remains enjoyable for everyone involved.

Pre-Event Planning

  • Check the Forecast: Keep a close eye on weather predictions leading up to your event. You can check the weather at: AccuWeather. Be prepared to adjust your plans accordingly.
  • Secure Your Setup:
    • Tent and Structures: If you’re using tents or other structures, ensure they are securely anchored to the ground. Consider using additional weights or sandbags for stability. Record-A-Hit does provide sandbags at an additional charge, but if we are able to stake into the ground, we will provide those at no cost.
    • Decorations: Opt for sturdy decorations that can withstand wind gusts. Avoid lightweight or flimsy items that can easily blow away.
    • Equipment: Secure all equipment, such as sound systems, lighting, and catering equipment, to prevent damage.
  • Have a Backup Plan: Consider indoor alternatives or plan for a tent enclosure if the forecast is particularly windy.

During the Event

  • Monitor the Weather: Keep an eye on weather updates throughout the event. Be prepared to implement your backup plan if conditions worsen.
  • Communicate with Guests: Inform guests about the windy conditions and any necessary precautions.
  • Adapt Activities: Adjust outdoor activities to accommodate the wind. For example, our inflatables cannot be in operation if wind gusts are more than 12 miles per hour.
  • Secure Food and Drinks: Protect food and drink stations from the wind. Consider using covered containers or serving food indoors.

Post-Event Cleanup

  • Inspect for Damage: Check for any damage to your equipment, decorations, or venue.
  • Secure Loose Items: Gather any loose items that may have blown away.

Remember, flexibility is key when dealing with unpredictable weather. By planning ahead and staying adaptable, you can turn a potentially stressful situation into a manageable challenge.
